This Privacy Policy explains how Aurentex ("we", "us", or "our") collects, uses, stores, and shares information about you when you use our website, our event management platform, and any related services (together, the "Services").
We are a registered Indian business and we comply with India's Digital Personal Data Protection Act, 2023 (the "DPDP Act") as well as other applicable laws.
1. Information we collect
We collect the following categories of information:
- Account and contact data. Name, work email, phone number, company or organization, role, and any details you share when you contact us or sign up.
- Event and attendee data. Information that you or your attendees enter into Aurentex registration forms, check-in records, badges, and analytics. This data belongs to you. We process it on your behalf as a data processor under the DPDP Act.
- Usage data. Device type, browser, IP address, pages viewed, and time spent. This is collected automatically through cookies and analytics tools.
- Communications. The content of emails, messages, and call notes when you communicate with us.
2. How we use information
- To provide, run, and improve the Services.
- To set up and brand your custom platform.
- To process payments and issue invoices.
- To respond to support requests and provide on-event standby assistance.
- To send you product updates, service notices, and (with your consent) marketing.
- To meet legal, tax, and accounting obligations.
3. Sharing your data
We do not sell your data. We share it only with:
- Trusted infrastructure providers who host the Services on our behalf (for example, AWS Mumbai for storage and compute).
- Payment processors. We use Razorpay (for UPI, cards, net-banking, and other Indian payment methods) and Stripe (for international card payments) to process payments. They receive only the data needed to complete the transaction (your name, billing address, and payment details) and act as independent data controllers for that information under their own privacy policies.
- Service tools you choose to integrate (your CRM, marketing platform, etc.) only with your permission.
- Government or regulatory authorities when we are required to by law.
4. Where data is stored
Attendee and platform data is stored on secure cloud infrastructure in the AWS Mumbai (ap-south-1) region by default. Data is encrypted in transit using TLS and at rest using AWS-managed encryption.
5. Your rights
Under the DPDP Act and other applicable law, you have the right to:
- Access the personal data we hold about you.
- Correct inaccurate or incomplete data.
- Request deletion or erasure of your data, subject to legal retention requirements.
- Withdraw consent for processing where processing is based on consent.
- Lodge a complaint with the Data Protection Board of India.

6. Data retention
We keep your personal data only as long as we need it to provide the Services or to comply with our legal obligations. When you close your account, we delete or anonymize your data within 90 days, except where we are legally required to keep it longer (for example, tax records).
Attendee data. Attendee data collected through your platform is deleted within 90 days of account closure, or earlier upon your written request. You can also export attendee data at any time during your subscription. The attendee data is yours; we process it on your behalf and never use it for our own purposes.
7. Security
We use industry-standard security practices including encryption, access controls, audit logging, and regular security reviews. No system is perfectly secure, but we work hard to protect your data.
Breach notification. If a personal data breach occurs that is likely to result in significant harm, we will notify the Data Protection Board of India and affected users within 72 hours of becoming aware of the breach, as required by the DPDP Act. The notification will describe the nature of the breach, the data and individuals affected, the steps we are taking to contain it, and what you can do to protect yourself.
8. Cookies
We use a small number of cookies and similar technologies on our website and platform. They fall into two categories:
- Strictly necessary cookies. Required to operate the site and keep you signed in on the platform. These include a session cookie and a cookie that remembers your consent choice (
aurentex-cookies). You cannot opt out of these. - Analytics cookies. Help us understand how the site is used so we can improve it. We use Google Analytics (
_ga,_ga_*) and Microsoft Clarity (_clck,_clsk) for aggregate usage data and heatmaps. You can decline these via the cookie banner the first time you visit.
We do not use cookies for advertising or to share information with advertising networks. You can change your choice at any time by resetting your preference on our Cookie Policy page, or by blocking and deleting cookies through your browser settings. Full details are in our Cookie Policy.
9. Governing law and jurisdiction
This Privacy Policy and any dispute or claim arising out of or in connection with it are governed by the laws of India. The courts of Coimbatore, Tamil Nadu have exclusive jurisdiction to settle any such dispute, without prejudice to your statutory rights under the DPDP Act, including your right to lodge a complaint with the Data Protection Board of India.
10. Children
The Services are intended for business use by adults. We do not knowingly collect data from children under 18. If you believe a child has shared personal data with us, contact us and we will delete it.
11. Changes to this policy
We may update this Privacy Policy from time to time. If we make material changes, we will notify you by email or through the Services. The "Last updated" date at the top reflects when the policy was last changed.
